Booking Terms & Conditions

Operated by Opal Cloud Ltd (“OC Ltd”)

These Terms & Conditions apply to all retreats operated by Opal Cloud Ltd (“OC Ltd”). Court House Farm, Portishead, is the primary venue and may be supported by additional accommodation at 18 Wellington Terrace, Clevedon, and Court Lodge, Portishead.

By paying your deposit, you confirm that you have read, understood, and agreed to these Terms & Conditions.

1. Important Historic Property & Safety Notice

Court House Farm is a Grade II * listed historic property, restored in accordance with English Heritage requirements. As such, it retains many original features that differ significantly from modern buildings, including:

  • uneven stone and timber floors

  • low, irregular, or worn steps

  • steep staircases

  • surfaces that may become slippery when wet

  • limited accessibility adaptations

Guests must take particular care when moving around the property, especially on stairs, outdoor paths, or in low light.

The property may be unsuitable for individuals with restricted vision, impaired balance, mobility limitations, or similar conditions unless accompanied at all times by someone able to support them.

For safety reasons, the property is not suitable for anyone whose judgement, coordination, or vision is impaired by alcohol, medication, or drugs.

By booking, you acknowledge the above and accept responsibility for your own safety when navigating the building, grounds, and historic features.

2. Reservations & Payments

A non-refundable deposit is required to secure your place on a retreat.

Deposits are strictly non-refundable.

Retreats require a minimum number of bookings to run. When minimum numbers are reached and the retreat is confirmed as viable, the final balance will be requested via email.

Please do not book flights or other non-refundable travel until you receive confirmation that the retreat is viable and your final balance has been requested.

Payments may be made via bank transfer or PayPal invoice (PayPal fees apply).

Any variation to payment terms or deadlines must be confirmed in writing by OC Ltd.

3. Cancellations & Refunds

If you cancel:

  • Deposits are non-refundable.

  • If you cancel after paying the final balance, a refund is only possible if your place is filled by another guest. In that case, the final balance will be refunded minus the deposit.

  • No refund will be issued due to personal circumstances including (but not limited to) illness, travel disruption, changes in personal finances, or insolvency.

If OC Ltd cancels the retreat:

If OC Ltd cancels a retreat in full (e.g., low numbers, illness, or unforeseen circumstances), you may choose either:

  • a full refund of all monies paid (including the deposit), or

  • a transfer to another retreat within 12 months.

If retreat details change:

To allow us to run viable events, OC Ltd reserves the right to amend details including venue, teacher, date, or schedule.
If you prefer not to attend after such changes, you may transfer your booking to another retreat within 12 months.
Refunds are not provided in this situation.

4. Travel & Insurance

Do not book non-refundable travel until your retreat is confirmed as viable.

OC Ltd is not responsible for flight delays, cancellations, missed connections, or other travel-related costs.

Comprehensive travel insurance is strongly recommended; for international guests, it may be mandatory.
We recommend cover including “Cancel For Any Reason” where available.

Guests are responsible for ensuring passports, visas, and travel documents are valid.

5. Health, Wellbeing & Participation

Guests must inform OC Ltd of any medical, physical, mental-health, mobility, dietary, or other needs in advance of arrival.

Participation in all activities—including yoga, workshops, and use of the hot tub—is entirely at your own risk.

OC Ltd may prohibit participation in activities if a guest is impaired by alcohol, medication, or drugs, or if participation could reasonably be deemed unsafe.

6. Property Use, Behaviour & Compliance

General use

  • Check-in/out times follow the retreat itinerary unless agreed in writing.

  • Guest numbers must not exceed the agreed capacity.

  • No smoking inside any building. Smoking is permitted only in designated outdoor areas.

Noise, licensing & neighbours

North Somerset Council restrictions apply:

  • no outdoor amplified music or fireworks after 10pm

  • no outdoor noise after 9pm

  • no behaviour that may disturb neighbours or breach any licence conditions

Alcohol & drugs

  • Alcohol may be provided as part of the retreat. Guests must drink responsibly.

  • Illegal drugs are strictly prohibited.

  • OC Ltd may ask any impaired guest to leave the activity or the retreat without refund.

Damage, disruption & breaches

Guests must respect the property and report any damage immediately.
Repair costs for historic features may be higher due to specialist materials or contractors.

OC Ltd may terminate a booking immediately and without refund for behaviour that:

  • risks damage to the property

  • breaches licence conditions or legal requirements

  • involves illegal drug use

  • causes disturbance to neighbours

  • disrupts the retreat in any way

OC Ltd may, at its sole discretion, retain part or all of the booking fee or security deposit depending on the seriousness and impact of any breach.

Cleaning & additional charges

A cleaning or remediation charge will apply if the property is left in an unreasonably dirty, damaged, or disorderly state.

OC Ltd may terminate a booking without notice if there are reasonable grounds to believe the Terms & Conditions are not being followed.

7. Media & Photography

Photographs and video may be taken during the retreat and may be used for promotional purposes including website, print materials, and social media.

If you prefer not to appear in any promotional material, you must inform the organisers in writing before the retreat begins.

8. Liability

Guests participate in all activities at their own risk.

OC Ltd, its owners, partners, staff, and contractors are not liable for accidents, injury, illness, death, loss, or damage to personal property except where caused by the negligence or criminal act of OC Ltd, its employees, or contractors.

Guests are responsible for having appropriate insurance to cover their participation, travel, and belongings.

9. Force Majeure

OC Ltd is not liable for any cancellation or disruption caused by events beyond its control, including but not limited to fire, flood, natural disasters, pandemics, transport strikes, or government restrictions.

10. Data Protection

Personal information is collected only for booking administration and communication.
Data is handled in accordance with UK data protection law and will not be shared with third parties except where required by law.

11. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the English courts.

12. VAT

OC Ltd is now VAT registered: 29 Nov 2025, Vat number: 506300244
Any balances paid after the VAT registration date are subject to VAT at the prevailing rate.
Deposits paid prior to VAT registration remain outside the scope of VAT.

Guests will be advised at the time of the final balance request that VAT applies.

Invoices will reflect any applicable VAT.

Acknowledgement

By paying your deposit, you confirm that:

  • you have read, understood, and agree to these Terms & Conditions

  • you acknowledge the specific risks associated with staying in a historic Grade II* listed property

  • you accept responsibility for your own safety and behaviour during the retreat

  • you agree to comply with all instructions, policies, and safety guidance provided by OC Ltd
