Court House Farm Retreats: Booking Terms & Conditions
Operated by Opal Cloud Ltd (“OC Ltd”)
These Terms & Conditions apply to all retreats operated by Opal Cloud Ltd (“OC Ltd”). Court House Farm, Portishead, is the primary venue and may be supported by additional accommodation at 18 Wellington Terrace, Clevedon, and Court Lodge, Portishead.
These terms apply to both residential guests and those attending via a Non-Residential (Day Guest) Pass. By paying your deposit, you confirm that you have read, understood, and agreed to these Terms & Conditions.
1. Important Historic Property & Safety Notice
Court House Farm is a Grade II* listed historic property, restored in accordance with English Heritage requirements. It retains many original features that differ significantly from modern buildings, including:
Uneven stone and timber floors
Low, irregular, or worn steps and steep staircases
Surfaces that may become slippery when wet
Limited accessibility adaptations
Guests must take particular care when moving around the property. The property may be unsuitable for individuals with restricted vision, impaired balance, or mobility limitations unless accompanied at all times. For safety reasons, the property is not suitable for anyone whose judgement, coordination, or vision is impaired by alcohol, medication, or drugs. By booking, you acknowledge these risks and accept responsibility for your own safety.
2. Reservations & Payments
A non-refundable deposit is required to secure your place.
Retreats require a minimum number of bookings to run
Please do not book flights or non-refundable travel until you receive confirmation that the retreat is viable.
For Day Guests: The fixed fee for the 6-Day Studio Pass is for the full programme and cannot be pro-rated for partial attendance.
3. Cancellations & Refunds
Deposits are strictly non-refundable.
If you cancel after paying the final balance, a refund is only possible if your place is filled by another guest. In that case, the final balance will be refunded minus the deposit.
No refund will be issued due to personal circumstances including (but not limited to) illness, travel disruption, changes in personal finances, or insolvency.
If OC Ltd cancels the retreat in full, you may choose either a full refund (including deposit) or a transfer to another retreat within 12 months.
4. Travel & Insurance
OC Ltd is not responsible for travel-related costs, delays, or cancellations.
Comprehensive travel insurance is strongly recommended for all guests (including local day guests) to cover cancellation, illness, or unforeseen circumstances.
5. Health, Wellbeing & Participation
Guests must inform OC Ltd of any medical, physical, mental-health, mobility, or dietary needs in advance of arrival.
Participation in all activities—including yoga, workshops, and use of the hot tub—is entirely at your own risk.
6. Property Use, Behaviour & Compliance
General Use: Check-in/out times follow the retreat itinerary. Guest numbers must not exceed capacity. No smoking is permitted inside any building.
Noise & Licensing: North Somerset Council restrictions apply: no outdoor amplified music/fireworks after 10pm and no outdoor noise after 9pm.
Alcohol & Drugs: Alcohol may be provided as part of the residential retreat. Guests must drink responsibly. Illegal drugs are strictly prohibited. OC Ltd may ask any impaired guest to leave an activity or the retreat without refund.
Damage: Guests must respect the property and report damage immediately. Repair costs for historic features may be higher due to specialist requirements.
Termination: OC Ltd may terminate a booking immediately and without refund for behaviour that risks damage, breaches license conditions, involves illegal drug use, or disrupts the retreat experience for others.
7. Non-Residential ‘6-Day Studio Pass’ (Day Guest Policy)
7.1 Local Eligibility: The 6-Day Studio Pass is a community-focused offer intended for residents of Portishead, Clevedon, Bristol, and the immediate surrounding areas. OC Ltd reserves the right to request reasonable proof of identity and/or residency (e.g., driving licence or utility bill) prior to arrival in order to verify eligibility and for general security purposes. Identification documents will be processed in accordance with our Privacy Policy and retained only for as long as necessary for verification purposes.
7.2 Access Hours: Day Pass holders have access to the venue during scheduled workshop hours only (typically 9:30 am – 5:00 pm). Access to the site for breakfasts, evening meals, or evening social hours is reserved strictly for residential guests.
7.3 Inclusions & Exclusions: The pass includes tuition, studio space, and chef-prepared lunches. It excludes breakfasts, evening meals, wine/alcohol service, and overnight accommodation.
7.4 Parking: On-site parking is provided. Vehicles must be removed at the end of each daily session and may not be left on-site overnight.
8. Media & Photography
Photographs and video may be taken during the retreat for promotional purposes (website, social media, etc.). If you prefer not to appear, you must inform the organisers in writing before the retreat begins.
9. Liability & Force Majeure
Guests participate at their own risk. OC Ltd is not liable for accidents, injury, or loss of property except where caused by negligence or criminal act of OC Ltd.
OC Ltd is not liable for disruption caused by events beyond its control (Force Majeure), including fire, flood, natural disasters, or government restrictions.
10. VAT
OC Ltd is VAT registered (Vat number: 506300244). Any balances paid after 29 Nov 2025 are subject to VAT at the prevailing rate.
11. Identity Verification (All Guests)
For safety and security purposes, OC Ltd may request photographic identification prior to arrival for both residential and non-residential guests.
Identification documents are processed solely for verification purposes and in accordance with our Privacy Policy. Access is restricted to authorised personnel only. Identification documents will not be retained longer than necessary and will be securely deleted following verification.

3. Identity Verification Data
We may request a copy of photographic identification prior to arrival.
Purpose of Processing
We process identification documents to:
Verify guest identity prior to granting access to private property
Confirm eligibility for Local Day Guest Passes
Protect the safety of guests and staff
Protect our historic property assets
Comply with insurance or licensing requirements where applicable
Legal Basis
Our lawful basis is Legitimate Interests (Article 6(1)(f) UK GDPR) — specifically, ensuring the security, safety, and proper administration of our retreats.
Data Minimisation
Guests may redact licence numbers or unrelated information where this is not required for verification.
Retention
Identification documents are retained only until verification is complete and no longer than 30 days after the retreat has commenced, unless required for investigation of a security incident.
A record that “ID has been verified” may be retained as part of booking records.
Security
Access to identification documents is restricted to authorised personnel only. Documents are stored securely and deleted in accordance with our internal data handling procedures.
4. How We Use Your Information
We use your data to:
Administer bookings
Communicate retreat information
Manage dietary and health requirements
Maintain safety and security
Process payments
Comply with legal and tax obligations
5. How Long We Keep Data
Booking and financial records: retained in line with UK tax law (currently 6 years)
Health/dietary data: deleted after the retreat unless legally required
ID documents: deleted within 30 days after retreat commencement
Media: retained unless you withdraw consent
6. Data Security
We implement appropriate technical and organisational measures including:
Restricted access controls
Password protection and two-factor authentication
Secure storage systems
Scheduled deletion procedures
7. Your Rights
You have the right to:

8. Third Parties
