TERMS AND CONDITIONS FOR COURT HOUSE FARM AND GARDENS RETREATS Operated by Opal Cloud Ltd

Please read and acknowledge these Terms and Conditions. By making a booking, paying a deposit, or signing this document, you agree to be bound by these terms.

  1. CONTRACT Opal Cloud Ltd ("OCLtd") operates Court House Farm and Gardens, a Grade II* listed property, Court Lodge and 18 Wellington Terrace, Clevedon, for retreats and short stays. A binding contract is formed upon issuance of a booking confirmation and receipt of the required deposit. All bookings are subject to these Terms and Conditions.

  2. RESERVATIONS AND PAYMENTS
    2.1 To reserve a place on a 5-night retreat (or 3-night), complete the payment form and submit the non-refundable deposit as specified. Final balances are due 30 days prior to the retreat start date. Late payments may result in cancellation, with the deposit forfeited.
    2.2 Payments can be made via PayPal Invoice or Direct Bank Transfer. Acceptance of these Terms and Conditions is implied by any payment made for the retreat.
    2.3 The retreat package includes accommodations and activities as listed on the retreat page. Airfares, airport transfers, in-transit accommodation, visas, airport taxes, travel insurance are not included unless specified.

  3. CANCELLATION AND REFUND POLICY
    3.1 Cancellation by Guest: Cancellations must be submitted in writing to Helen or Victoria at hello@courthousefarm.com. OCLtd operates a strict no-refund policy due to immediate costs incurred upon booking. Refunds may be considered at OCLtd’s discretion if cancellation occurs with reasonable notice (e.g., more than 6 months prior), less administrative, advertising, and booking fees. Cancellation charges:

    • 3–6 months prior: 50% of total cost

    • 6 weeks to 3 months: 75% of total cost

    • Under 6 weeks: 100% of total cost 

3.2 Cancellation by OCLtd: In the unlikely event of cancellation due to unforeseen circumstances (e.g., natural disaster, illness, civil unrest, or property unavailability), guests may transfer their deposit to a future retreat within 12 months. OCtd is not liable for refunds or reimbursements beyond the deposit transfer. Guests are encouraged to claim through their mandatory travel insurance.
3.3 Changes by OCLtd: OCE Ltd reserves the right to modify retreat details (e.g., venue, teacher, itinerary) due to unforeseen circumstances. Guests may transfer their deposit to a future retreat within 12 months. No further refunds or reimbursements will be provided, and guests should rely on travel insurance for additional claims.

  1. TRAVEL INSURANCE AND DOCUMENTATION
    4.1 Travel insurance is mandatory for all guests, covering the retreat location, dates, medical emergencies, and natural disasters. A "Cancel for Any Reason" policy is strongly recommended.
    4.2 Guests are responsible for obtaining valid passports (good for 6 months post-return), visas, and required immunizations. OCLtd is not liable for travel disruptions due to invalid documentation. Contact Helen at hello@courthousefarm.com for retreat-specific requirements.
    4.3 Guests are strongly advised not to book flights or other non-refundable travel arrangements more than six (6) weeks prior to the retreat start date, in case of changes or cancellations. While such occurrences are rare, OCE Ltd accepts no liability for flight cancellations, delays, missed connections, or additional costs incurred as a result. Guests must ensure their travel insurance covers such eventualities.

  2. GRADE II* LISTED PROPERTY CONSIDERATIONS 5.1 Court House Farm and Gardens is a Grade II* listed property with historic features such as uneven surfaces, low doorways, and exposed beams. Guests must exercise caution to avoid injury and respect the property’s heritage.
    5.2 No alterations, decorations, or fixtures may be applied to the property without prior written approval from OCLtd to comply with historic preservation regulations.
    5.3 Guests must report any damage to the property immediately. Repair costs for damage to historic elements may be higher due to specialized requirements and will be deducted from the damage deposit.

  3. SAFETY AND HEALTH
    6.1 Guests must disclose any medical conditions or physical limitations that may affect participation in retreat activities (e.g., yoga, or other physical activities). By booking, guests confirm they have no conditions that would prevent safe participation.
    6.2 Safety Hazards:

    • Hot Tub: Adhere to posted rules. Use at your own risk.

    • Slippery Surfaces: Exercise caution on tiles, wood, and uneven historic surfaces.

    • Fire Safety: Follow fire exit and woodburner guidelines in the welcome pack. Never leave fires unattended.

    • Hot Water: Test water temperature before use, especially for children, due to high temperatures required by safety standards. 

6.3 OCLtd is not liable for injury, illness, or death resulting from participation in retreat activities or property use. Guests assume all risks associated with these activities.

  1. PROPERTY USE AND COMPLIANCE
    7.1 Check-in and check-out as per retreat itinerary unless otherwise organised with Helen. Guests must leave the property tidy.
    7.2 Guest numbers must not exceed the agreed maximum without written approval. 7.3 No smoking indoors. Smoking is permitted only in designated outdoor areas, with responsible disposal of cigarette ends.
    7.4 No flushing of items other than toilet paper.
    7.5 Noise restrictions per North Somerset Council: No outdoor amplified music, no fireworks after 10pm (with prior permission), and no outdoor noise after 21:00 for retreats.

  2. MEDIA RELEASE By participating, guests grant OCLtd permission to use their image, video, or likeness in promotional materials (e.g., social media, websites, brochures) without compensation or right to inspect the final product. A separate video release waiver must be signed.

  3. TERMINATION OCLtd may terminate a booking and require immediate vacation of the property for breaches including excessive noise, property damage, illegal activity, or non-compliance with licensing conditions. No refunds will be provided.

  4. FORCE MAJEURE OCLtd is not liable for failure to perform due to circumstances beyond its control, including acts of God, fire, flood, war, pandemics, or government intervention.

  5. DATA PROTECTION OCLtd collects and uses personal information for booking administration and communication per UK data protection laws. Data will not be shared with third parties without consent, except as required by law.

  6. GOVERNING LAW This agreement is governed by the laws of England and Wales, with disputes subject to the exclusive jurisdiction of English courts.

  7. LIABILITY OCLtd, its owners, directors, employees, and partners are not liable for injury, death, property loss, or consequential losses arising from retreat participation or property use. Guests indemnify OCLtd against claims arising from these terms.

  8. ACKNOWLEDGEMENT By signing below, I acknowledge the risks associated with participating in a retreat at Court House Farm and Gardens, including those related to its Grade II* listed status and retreat activities. I assume full responsibility for any injury, loss, or damage incurred and confirm I have read and agree to these Terms and Conditions.

Final note from owner:
Just to sum up, Court House Farm is a Grade 2 star listed site, ( which means its officially a national treasure) with buildings dated from the 1300s,  which although has been restored is generally not suitable for persons with very limited mobility or sight. 

It is a very old, mainly stone building, with restoration carried out to the requirements of EnglishHeritage, in order to preserve the integrity of the ancient buildings. As a result, floors and steps are of stone and timber, and at times are slightly uneven. Aids such as handrails are safe and sufficient but limited to the history of the building. The wonderful historic feel of the building may make some parts of it atmospherically slightly darker due to the old architecture and although lit to building regulations standards it is important that anyone using the building is always careful to use the well placed light switches to put lighting on, keep hands free from carrying too much when using steps or stairs so a handrail can be used, and not presume there are any very modern intersections. 

In conclusion, we welcome guests with open arms, (even those who are less able) and want to reassure you that it is entirely safe, and has been signed off by modern building regulations but that guests will need to make allowances for the ancient nature of the property and take a little more familiarising to look out for and take care over uneven surfaces, steps and stairs etc, and especially when consuming alcohol.
